Stage 1: Pickup & Prep
Every project starts with indexing and sorting — documents are catalogued, organized by batch, and prepared for scanning. For small projects this might take a day; larger archives (thousands of pages across multiple departments or years) can take longer, since accurate sorting up front prevents costly errors later.
Stage 2: High-speed Scanning
This is where volume matters most. Production scanners can process large numbers of pages per minute — but the real-world pace depends on document condition, page size, and whether items are loose sheets or bound volumes needing gentler handling. A few boxes of clean, loose paper can be scanned within days; large-volume archives are run in scheduled batches with progress updates at each stage.
Stage 3: OCR & Quality Control
Scanned images go through multi-pass OCR to become fully searchable, followed by quality checks — verifying every page is legible, correctly oriented, and complete. This stage is non-negotiable for compliance-sensitive archives, since a missed or blurry page discovered months later is far more costly to fix than catching it during QC.
Stage 4: Secure Delivery
Once QC is complete, your digital archive is handed over — typically as searchable PDF/A, TIFF, or your preferred format — via encrypted transfer or secure cloud delivery. Optional cloud archival adds role-based access and version history for ongoing management.
